Volunteering

In the letter, indicate the city, your skills, and the time you are ready to devote to helping. For example, you can offer to sort and pack things, transport cargo, photograph handovers, or prepare information materials. These are possible suggestions, and the specific tasks depend on the foundation’s needs.

If you are offering transportation, state the type of transport, the load capacity, the available route, and the dates. If you can help remotely, describe your skills and the preferred format of work.

How to prepare humanitarian aid

  1. Make a list. Name, quantity, condition, dimensions, and city of dispatch. Photos of the items can help confirm whether they are suitable.
  2. Confirm the need. Before sending, wait for approval of the list, the recipient, and the address. An unapproved shipment may not match the current request.
  3. Check the condition. Clothing must be clean and dry; equipment must come with a description of what is included and of known faults. For food and consumables, state the expiration dates.
  4. Pack and label. Sort the items by type, label the boxes, and prepare a list of the contents. Protect fragile items from damage.
  5. Agree delivery. Agree on who pays for transport, the date, the recipient’s contact, and how the handover will be confirmed.

Hand over medical devices and equipment only after the specifications and the conditions of acceptance have been agreed with the responsible representative. Do not send medicines or special equipment at random.

For business and professional communities

State the name of the organization, its area of activity, the contact of the responsible person, and the specific offer: goods, services, transport, a professional consultation, or financial support.

State the volume, the time frames available, the geography, and the terms of the offer. If a contract, a transfer certificate, or a designated use of the aid is needed, discuss this before cooperation begins. For the dental program, doctors and clinics can describe the services, the city, and the capacity to receive service members.

Public use of a partner’s name or logo, photographs of recipients, and materials from a handover should be agreed separately.
